Schedule shifts, approve hours, and send approved hours to the Invoice queue. Smart Assign uses availability and requirements. You confirm.

How planning flows

The usual path in Gig-a-tronic: request, assign and confirm, scheduled work, approve hours, Invoice Queue, invoiced. Side paths cover changes, disputes, and cancellations.

Optional company settings can skip confirmation or verification. After the end time, scheduled shifts move to verification automatically (they do not stop on Completed first).

    Open request

    A shift exists for a client and project, with no one assigned yet. It shows up under Open Requests until you assign someone (or they apply).

    Assign and confirm

    Pending Assignment / Pending Request

    You assign a person, or they apply. Confirmation is bidirectional: if you assigned them, they confirm; if they applied, you approve. Refuse returns the shift to Requested. You can override to Scheduled when needed.

    The shift is confirmed. People work from this status. Availability, conflicts, and calendar views stay anchored here.

    Check hours

    When the end time has passed, the system moves the shift here for review (unless your company skips verification). You check hours, breaks, and notes before approval.

    Approved delivery

    Hours are approved. The shift can move to the billing handoff, or into a dispute if something is wrong.

    Invoice Queue

    From the Invoice Queue tab you send approved shifts on to invoicing. The shift locks for edits; creating the PDF/UBL happens under Invoicing.

    The invoice is finalized. The shift is marked Invoiced. Payment tracking lives on the invoice, not as a further shift-status step on this page.

Real side paths

  • Change requested

    From Scheduled (or still pending), someone asks to change details. You approve back to Scheduled, send it back for re-confirmation, or unassign.

  • Dispute

    From verification or after Verified, you can dispute. Resolve with adjustments, then return to Verified.

  • Cancel

    Cancel when the shift will not run. You can reopen a cancelled shift as Requested to start again.

What you do with it

Planning is your day-to-day work surface. You create shifts for a client and project, assign people, clear confirmations and change requests, approve hours, and hand work off to invoicing. Overview shows what still needs attention.

Capabilities

Beyond those steps: calendars, conflicts, bulk actions on selected shifts, recurrence patterns, and ORT premiums you configure under Qualifications & rates.

  • Tabs: All Shifts, Pending Actions, Open Requests, and Invoice Queue
  • Day, week, and month calendars: right-click to add; drag a shift and confirm date, time, and person before saving; overlays for absence and availability
  • See conflicts when the same person has overlapping assignments
  • Smart Assign ranks by availability and requirements. You confirm.
  • Bulk create with shift templates and repeat patterns (daily, weekly, monthly, or 4-weekly); shifts that cross midnight roll the end date correctly
  • Attention in Overview: unassigned work, confirmations, change requests, disputes, verification pending, absence, and document review
  • Approve, dispute, or resolve, then send work to the Invoice Queue
  • ORT (irregular-hours premium) on invoice lines when linked to services, under Qualifications & rates
  • Multi-select on the Shifts board: bulk assign, change status, notify people, and send approved hours to the Invoice Queue

Outcomes

Assignment respects availability and absence. Overlapping bookings show as conflicts. Invoicing uses the rate that applied that day. A later change does not rewrite past invoices. ORT premiums on invoice lines come from the same administration. Work in the Invoice queue or already invoiced is locked against casual edits. From approval to invoice, without a second spreadsheet.

    You set requirements per role. Evidence can have a document and a review status. Gig-a-tronic does not check legal contents.

What stays outside the product

Admission, payroll, employment contracts, identity checks, housing, BRP, and the final assessment stay outside. You stay responsible for compliance.
