Shifts board and views
Learn the four Shifts tabs, client/project filters, and switching between list and calendar (day/week/month).
Outcome
You open Shifts on the right tab, keep client/project and filters in view, and switch list ↔ calendar without losing the workflow.
Who it's for
Planner / admin
Prerequisites
- Permission to view Shifts
- Some live shifts help so tabs are not empty
Steps
- Open Shifts in the sidebar (or go to /shifts). You land on All Shifts by default: the full board of existing shifts in list or calendar format. At the top, pick Client and Project when you want to focus on one engagement; leave them empty for “all” within your permissions.
- Know the four tabs (product labels): All Shifts (`/shifts`), Open Requests (`?tab=open-requests`): requested with no assignee, Pending Actions (`?tab=pending-actions`): everything that needs planner action (assignment, change, approval, dispute), Invoice Queue (`?tab=ready-for-invoice`): shifts ready to send to billing. The tab is in the URL; share or bookmark that link.
- On All Shifts: use Filters (status, person, location, dates, search) to refine the list. The Add New Shifts section expands for quick create (depth in “Create and assign shifts”). Pending Actions is a simplified action board; on Invoice Queue you select rows to send to Ready for invoicing in one move. Details in “Approve hours and the Invoice Queue”.
- Toggle List ↔ Calendar with List View / Calendar View. On list views, select several shifts and use the bulk bar: assign one person, change status (with reason), or notify assigned people. In calendar, choose day, week, or month zoom (week is a common default) and move with previous/next or today. Drag a shift block, then review date, time, and person in the confirmation dialog before you confirm: cancel leaves the board unchanged. Week timeline helps with coverage; deeper calendar assign continues in “Create and assign shifts”.
- Working pattern: Overview sends you to a filtered tab → act on Shifts → back to Overview or the next tab. Next in this cluster: create and assign (modals). For availability and time off, the Day-to-day tutorials stay the deep guides.
