Create and assign shifts
Create shifts (table or modal, including overnight), assign manually, or use Smart Assign from availability and requirements.
Outcome
You can create a shift with client, project, time, and location, recognize overnight via end date, and pick someone with Assign Resource or Smart Assign.
Who it's for
Planner / admin
Prerequisites
- Permission to create and assign shifts
- Smart Assign permission if you will use that modal
- At least one client with project/location and one person
Steps
- Open Shifts → All Shifts. Pick Client and Project at the top. Expand Add New Shifts: each row is one shift (date, start/end time, location, optional resource, standby). Bulk Fill applies location, date range, and times to empty rows at once. Submit with Submit Shifts and confirm in the dialog: or open Add shift (modal) from the board/calendar where that action is available.
- Fill required context: start and end time, location from the project, and end date. Overnight: if end time is before start time (evening → morning), the end date advances to the next day: check that end date before you submit. Optional: shift qualifications, standby, or a resource immediately. Unpaid breaks appear on unpaid projects; depth is in “Breaks on shifts”.
- Assign from the list or Open Requests: open the shift (row / quick view) and choose Assign Resource. Search or pick someone available, confirm. The shift leaves Open Requests and enters the confirmation flow (Pending Assignment): details in “Status confirmations”.
- Smart Assign: open it from the row actions. It uses availability and requirements. You confirm. Do not submit forms during screenshot captures; open and inspect only.
- Calendar: drag an unassigned block onto a person’s row (or right-click / click-to-add where the UI offers it). After a drag, the product opens a review dialog for date, time, and person: confirm to save, or cancel. Next: status confirmations in this cluster; availability and qualifications stay in Day-to-day / Business master data.
